TERMS & CONDITIONS
1. Commencing provision of Childcare
Child Record Forms: We must have a completed child record form before we can care for your child. You are responsible to ensure that you review and update this information on the form at regular intervals and inform us of any changes to this information.
School Collection: It is your responsibility to ensure the school is aware of our engagement and you are responsible for the setup of arrangements of our collection of your child.
Term Time Only Agreement: Means that you only pay for childcare services during the academic school year, in accordance with the timetable for your child's particular school. Any holiday club care must be arranged under a separate agreement.
Inset days: Also referred to as teacher training days, fall within the academic school year. So are therefore chargeable under this agreement.
After School Club Time-Table: Village End after school club is open throughout the school term, even on inset days.
2. Services that we provide
Food: A balanced nutritious diet is provided for dinner. A charge for food will be made if your child is registered for childcare until 6pm, even if your child is collected before we serve dinner.
Staff: We employ both qualified and unqualified childcare assistants who assists with all childcare related responsibilities. including school collections and general care on and off the Village End premises.
Collections: These are available at nominated schools. Should somebody different collect your child from Village End, they will be asked to quote a unique password as entered in your child record form.
Should your child not be attending school, and therefore you do not require us to collect them, please advise us by email before 2pm that day.
In an Emergency: In the event of a medical emergency, we will carryout first aid treatment and seek medical advice if required. We will also consent to any necessary medical treatment on your behalf until you are present.
Transportation: We have fully comprehensive vehicle insurance for any journeys undertaken with your child. An appropriate car seat for the age of the child will be used at all times. During busy periods, we may also use an approved local taxi company who we have nominated to provide additional transportation, all of whom are registered and checked by the relevant local authority.
Visits & Outings: Occasionally, we may arrange to visit a local park or a place of interest. Due to weather conditions, outings are normally arranged on the day; therefore prior notice may not be given.
3. Charges and conditions of Childcare provision
Overtime & Late Collections: Our normal working hours are Monday to Friday, from 2.45pm - 6.00pm. Any children remaining after 6.00pm will be transferred to Brickfield Cottage and cared for under our childminding registration (EY256950), where we will follow our procedures for uncollected children. For authorised care outside these hours, a levy will be charged of 25p, per minute, per child. For unauthorised care outside these hours, a levy will be charged of 50p, per minute, per child. This levy also applies to until 5pm agreements.
Payment Terms: Invoices are due monthly in advance. The first payment is due on commencement of childcare. Thereafter, it is due on the first working day of each month. An invoice for each month will be raised approximately 5 working days before payment is due. In the case of late payments we reserve the right to add a 1% levy per day.
Deposit: A deposit equivalent to 20 academic school days childcare is required to secure a future place for your child, or at the commencement of childcare. Deposits are only refundable once your child has attended Village End for a minimum of 60 academic school days.
Non attendance during normal Childcare periods: We regret that there can be no reduction in fees for a place not utilised for whatever reasons be it illness, your holidays or other factors during the academic school term-time for the child's particular school.
Sickness: Children must not be brought to Village End, nor can we collect them from school if they are unwell or suffering from a contagious illness or infection.
Medication: If your child requires medication or treatment for an on going condition e.g. Asthma, a separate medication form will need to be completed in advance. We cannot administer any medication without prior written consent.
Child Exclusion: Should your child become incompatible with the general well-being of other children in our care, eg. bullying, disruptive, inappropriate or aggressive behaviour, your child will be excluded from Village End 'without notice' and the balance of your childcare due for the rest of the month and initial deposit will be retained.
This Agreement: If any provision of this Agreement is held to be invalid, illegal or unenforceable then such provision shall be automatically modified to the extent necessary to make it valid, legal and enforceable and all other provisions of this Agreement shall be regarded as fully valid and enforceable unless otherwise proved.
4. Conditions related to Childcare provision
Review Date: All contracts are reviewed in August of each year. This contract remains in force until a new contract is agreed or until termination is satisfactorily completed.
Notice Period: 20 academic school days notice must be given in writing by either party to terminate or change any part of this agreement.
Charged Services: Any additional fees due for extra childcare services will be included on the next invoice.
5. Miscellaneous
Photography: We may occasionally take still and moving photographs of children for inclusion in promotional material such as our website or for display purposes, or to assist us with observing and reviewing your child’s care, learning and development.
Sunscreen: We may apply sunscreen to your child in hot weather as necessary.
Observations: In accordance with the EYFS Standards (Early Years Foundation Stage) and to aid good practice, we may at times make written and recorded observations of children.
Personal Property: You are responsible to ensure that children do not bring any items of value to Village End as we accept no responsibility for lost or damaged property.
6. Our Compliance
We agree to comply with all requirements of registration as laid down by the regulatory authority (Early Years Directorate, OFSTED) and the After School Care Standards Act.
